Private Chicago office looking for a full time trust administrative assistant to join their staff. Ideal candidate is energetic, professional, pro-active, detail oriented, extremely organized, and able to think quickly and efficiently.
Duties include daily office needs, including but not limited to:
- phone and email correspondence, calendar scheduling, filing, account management, coordinating travel, and IT support
- account maintenance such as risk assessments, investment reviews, and account opening forms
- fiduciary activities such as annual risk assessments, working with internal auditors, and scheduling and arranging for annual AML, BSA training
- preparing quarterly and annual agendas and all material for audits and board meetings, maintain minute books for President and COO at board meetings, prepare committee reports, and circulate and obtain annual conflict of interest forms from directors and officers
- working with COO to prepare annual budget and fee schedule, annually review insurance for entities under management, and monitor vault access and control
Must be discreet and willing to work in a small office environment. Candidate must have a college degree, ideally with a concentration/major in finance or accounting. Must be proficient with Smartphones and all Microsoft programs. Candidate must be legal to work in the United States and able to interview ASAP. Salary is $60-70k, DOE. Rough schedule is Monday-Friday 8-5, but candidate must be flexible and willing to work on occasional evenings/weekends as needed. This is a long term position, ideally for someone with at least 5+ years of experience in a similar role. Must have verifiable references from previous employers.
