Executive Assistant/Office Manager Needed- Chicago, IL (River North)

Executive Assistant/Office Manager needed for a newly established family office in Chicago, IL (River North). The ideal candidate must be experienced in handling a wide range of administrative and executive support related tasks. Responsibilities include but are not limited to:
  • Assist the President and CEO with his daily schedule, which includes calendar management, as well as travel arrangements.
  • Provide executive administrative support to the team which includes but is not limited to: greeting visitors, answering incoming calls, arranging meetings and conference calls, managing calendars, coordinating travel, expense reports, running occasional errands, etc. 
  • Perform general office/facilities management duties which includes but is not limited to: developing and organizing office operations and procedures, negotiating new vendor contracts, maintaining office facilities and supplies, be the liaison between outside vendors and office, managing office inventory, etc. 
  • Assist with various Human Resource functions that include: orienting new employees, screening and hiring potential new administrative staff, training/managing new staff members, etc.
The successful candidate will be exceedingly well organized and flexible, and will enjoy supporting a small office of diverse people and programs. Must have 5+ years of administrative experience in an office setting and have demonstrated the ability to manage complex tasks and prioritize competing demands in order to meet deadlines. Must have a sense of humor, be outgoing and level-headed, assertive, flexible and honest. Salary is commensurate upon experience and includes a full benefits package. Assistant Ranch Manager Needed- Aspen, CO

Assistant Ranch Manager needed in Aspen, Colorado to help oversee an extensive property, which consists of a single family home, horse barn, irrigation systems, trail systems, Ranch Manager's home and facilities garage. Assistant will assist the Ranch Manager in daily duties which include but are not limited to:
  • Overseeing the "natural" portions of the property which include: 
    • Walking & bridle trails
    • Naturally occurring springs
    • Drainage areas
    • Debris flow protection
  • Preparing & setting up the main residence in advance of visits by the principles
  • Maintaining all buildings on the Ranch, including all building systems (HVAC, plumbing, septic and fire protection)
  • Assisting with the seasonal needs needs of the property (snow removal, summer set up, etc.)
  • Assisting in feeding of animals (cows)
Candidate must have knowledge of use, care and maintenance of various equipment including tractors, snowmobiles, snow blowers, pumps, etc. Must be able to perform heavy lifting and extensive manual labor, and be able to work at high altitudes in hot and cold conditions. Candidates must have a good attitude, be a team player, and be able to take direction from the Ranch Manager. 

Schedule is Monday-Friday from 8:30am-5:30pm, with occasional flexibility needed for nights and/or weekends when the family is in residence. Must be looking to make a long-term commitment and have your own reliable vehicle. Salary is commensurate with experience and includes an excellent benefits package. Personal Assistant Needed- Chicago, IL (Lincoln Park)

Personal Assistant needed for busy family with two young children in Chicago, IL (Lincoln Park).

Schedule requires flexibility for events/parties but an average will be Monday-Friday, 9am-5pm.
PA will be responsible for overseeing the residence, staff members, and vendors in addition to Assistant responsibilities. The ideal candidate is someone who considers him/herself “in the know”—the best restaurants, latest trends, new products, great locations for travel, how to put together a great dinner party, etc.—and who is looking to be a long-term Assistant. Duties include but are not limited to:
  • House management (researching vendors, scheduling, getting quotes, and overseeing renovation and seasonal projects)
  • Heavy calendar management and scheduling
  • Communicating with other staff members (Nanny and Housekeeper) and the Family Office to ensure continuity between business/personal schedules
  • Coordinating and overseeing travel, as well as assisting with preparing family for trips (packing suitcases, shipping items, etc.)
  • Personal shopping such as purchasing supplies, gifts, handling returns, and running errands
  • Planning and executing events, dinner parties, charitable functions, and family gatherings
  • General phone and email correspondence, sorting mail, and handling bill payments
Applicants should have managerial experience, strong computer skills/be tech-savvy, incredibly organized, have a strong attention to detail, be able to multi-task, and have 2-3 years of experience (minimum) working in high-end homes as an Assistant. Candidates must also drive, have his/her own reliable vehicle, and be child-friendly.

Full-time Nanny Needed- Chicago, IL (Old Town)

Family in Old Town is seeking a professional, long-term, live-out, full-time Nanny for their family. Family has five children (four school aged and one toddler; Nanny will primarily be tending to the needs of the toddler but is responsible for all five children).Schedule is 40 hours/ week, Monday-Friday from 8am-6pm; occasional flexibility needed but not often (and weekend hours are never required). Responsibilities include but are not limited to:

-Taking care of the children (mainly the toddler, as the other children are in school full-time)
-Picking up the children from school & taking then to after school activities
-Help with the children’s laundry
-Light housekeeping (no deep cleaning required; family has a part-time housekeeper)
-Occasional help with pets (family has two small dogs)

Family is looking for a long-term commitment and someone who is outgoing, organized, committed and mild-mannered. Nanny must drive ( a car will be provided) and will be responsible for picking up the other children from school and driving them to activities.
